How does payment work on Roam?

Clinics pay Roamies directly through the platform using credit card. Roamies receive their payout 2–7 days after the booking ends. A platform fee is deducted from the Roamie’s rate and clinics also pay a separate booking fee at checkout. Fees cover the cost to run the platform and credit card charges

What is the criteria to be a Roamie?

Nurses:

  • Have been trained or worked in a Caci clinic in the last 18 months. If you have worked in Caci before, but it has been longer than 18 months then you will need to complete a refresher training.
  • Ideally you are not currently working for a business that offers similar aesthetic service in competition with Caci.
  • Hold a current Nursing Registration
  • Hold a current Resuscitation Certificate

Skin Therapists:

  • Have been trained or worked in a Caci clinic in the last 18 months. If you have worked in Caci before, but it has been longer than 18 months then you will need to complete a refresher training.
  • Are not currently working for a business that offers similar aesthetic service in competition with Caci.

Do I need to be a registered contractor to be a Roamie?

Yes. To work through Roam, you need to be a registered contractor—most Roamies operate as sole traders. This means you're responsible for imanaging your own tax and compliance. Here’s how to set yourself up as a sole trader in New Zealand:

  • Get an NZBN (New Zealand Business Number), Register for free at www.nzbn.govt.nz
  • Choose “sole trader” as your business structure
  • Register with IRD. You’ll use your existing IRD number for tax purposes
  • If you're earning over the GST threshold ($60,000/year), you’ll also need to register for GST
  • Get insurance: You’ll need professional indemnity insurance.

As a Roamie, how do I get paid?

Clinics pay you directly. Once logged in you can configure details to get paid:

  • Click on your profile picture
  • Click on Account settings – Payout details and follow the steps to add in your bank account etc.

The payout is triggered 2-7 days days after the end of the booking period.

As a Roamie, can I choose when and where I work?

Absolutely! You control your availability, locations, and services offered.

To setup your shifts:

  • Click on Post your Shifts
  • Complete the form, including details, pricing, availability and photos. Note if you don’t have or know who your Standing Order Dr is leave this blank.
  • The listing is then sent off to be approved.
  • Once approved, you are all set and people can book you in!
  • If required, you can edit shifts under your account.

Yes. Roamies are not obliged to accept any booking.

As a Roamie, what happens if I’m sick and can’t attend a booking?

Please notify the clinic and Roam as soon as possible. If payment has already been transferred, you’ll be expected to refund the clinic unless another arrangement is agreed. Frequent short-notice cancellations may affect your access to future bookings.

As a clinic, how do I setup a Roamie in Wandly?

Once the Roamie has accepted, ensure they are set up in Wandly, you may need to complete an onboarding form if it is the first time the Roamie has been in your clinic. The Roamie will be setup as an employee, not a Wandly user – meaning they will have a column available but won’t be able to login to Wandly itself.

As a clinic, what do I do if I want need to extend the booking with the Roamie?

If you need to extend the booking simply jump on to roam and book out the Roamie for the addtional hours.

How do I cancel a request or booking?

Cancellations made with less than 48 hours' notice may still incur a charge. Please notify the Roamie directly of any cancellations and email: roam@caci.co.nz to confirm the cancellation.
